If you organize events, then you need the answers to your requests in a very short time and, most importantly, clearly.
Your client sends you the request at 6pm and expects your proposal in their mailbox by 9 am of the following morning.
You know it’s no joke.
It’s your job and your everyday routine.
Let’s forget about the basic structures that don’t even answer your requests.
And they are not a few.
Then you have the problem of interpreting the estimate.
Just like Blade Runner could you tell me:
‘I have seen estimates that you humans can not even imagine …’
Of course, we are joking. But it is a half truth unfortunately.
Prices with VAT. Prices without VAT.
And to figure it out you have to transform yourself in an accountant.
Collecting all the data, putting them on Excel, doing the math…
Therefore, you have a pretty big weight on your shoulders.
You also have to learn about the convention centre and its structure.
In between all the attachments I bet it’s challenging trying manage the spaces according to your event.
In addition to being a meeting planner you must be an architect and interpret layouts or floor plans.
We had to face these problems at the Savoia Hotel too.
But then I started using a quick, clear and most importantly explanatory system of estimates.
Let’s start from the bottom.
In our meeting estimates there are always 2 very important additional sections.
The first is called ‘’Take a look at the floor plans of the Savoia Hotel Meeting Centre’’.
Inside you will find the maps of all the conference rooms and the complete technical sheets of all the rooms.
The second section is very useful: ‘’All you need to know to make the best use of the Savoia Hotel’’.
- This section tells you what to do in every space of Savoia.In a few moments you have a very clear view of the whole structure and you know if it can satisfy your requests.In the budget area, however, you immediately know how much the entire event will cost you to the cent with quotations including VAT and no final surprises.Find the detailed description of the room immediately.The cost of services (catering coffee break etc.) divided day by day.The cost of the accommodation in the rooms, the treatment included and the confirmation procedures to define reservations.Other additional useful sections in my opinion are:
- The images of our webcam (that shows Live what you can see from our rooms).
- The explanation with pictures of our parking on the floor-3.
- Information on how to reach us by train, plane (airport of Rimini and Bologna) that you can immediately copy-paste and share with the guests of the event.
Practically you have everything available. You do not have to look for any other location anymore.
Another interesting fact is that you can contact me via chat directly from the estimate.
The messages we exchange can be read by everyone and if you’re not in the office, you can consult the estimate online from any device.
